Minutes

1. Apologies.

• Apologies: From Steve (ill or pissed having enjoyed Brentford’s 3-1 win at Carlisle?) Andy late as usual.

2. Chairman’s Report.

• Review of the year. Pretty good year with 2 new members. ShadowCon III was a success with good attendance. Tacttiles are getting damaged and since we can’t replace them … take care. Room costs going up by £0.50 to £1 per session.

3. Treasury report.

• £14.00 surplus from last year, so pretty much breaking even. £517 balance at the moment.
• ShadowCon III covered costs this year so successful.
• Costs on drinks for future ShadowCons’ could be cheaper due to drinks being bought from different vendor.
• Banner still not bought but have the funds put aside for this.
• Accounts sorted until end of June.

4. Funds

• Excess £200 in bank after paying for banner.
• Pens needed.
• Figures not required.
• Games donated from Leisure Games.
• Any ideas for new materials to be posted to website.

5. Shadow Con III

• Covered costs.
• Tray of Coke still to sell and a few chocolate bars to go too.
• 60 people through the doors over the 2 days, a little down on previous event.
• Happy with where games were played.
• MMMgames very happy to attend and want to be involved in future events (we will give more notice next time).

6. Conventions.

• Dragonmeet 2008:  4 members attended. Wings of War run and went well. Overall attendance was down on last year. London based so handy for attracting new club members.
• Conception 2009: Again was successful. Various games run Cuthulu, Wings of War, Descent. 5 members helped out with event.
• Salute 2009: Third year and no Nazis. 3 members there to help. Yellow fleeces getting yet more renown.
• GenCon UK 2009: Fiction. Not happening.
• Dragonmeet 2009: If we attend, run Wings of War again. But might be light on help.
• Conception 2010: Chalet booked for the club (thanks Terry). Same stuff to run as all seems to be welcome and popular.
• Salute 2009: Steve says we will be there, perhaps 2 tables. Wings of War & Descent. To be discussed further. Andy finally speaks … something about needing people to play Wings of War.
• ShadowCon IV: Try for same weekend (last Bank Holiday in May). MMM games to be invited, possibly Bob’s Dice as well??? Terry asked about Cursed Empires – Can ask but concerns over reliability.

7. How to get new members.

• Press Gangs, Pole Dancing (Terry) ???? Try and run some LFR games for possibly 2 games in one room.
• Target players from ShadowCon and get them to provide the players, we provide the GM, Room (Terry and Phil to look it to) etc.

8. General Running of the Club.

• Terry taken over from Taz running Rappan Athuk. Terry to provide details of game to the Shadow Warriors website.
• Create membership list on Yahoo groups and persuade people to add their contact details.
• Concerns about people not notifying about cancellations in enough time.

9. Review on current RPG's and future games.

• Andy has 4-5 sessions to go with Star Wars, offer from Tom to either run a new Star Wars game or Seventh Seas.
• Steve to carry on Cuthulu.
• Micah’s game has ended and no new ideas posted to replace though Andrew Bourne has since posted a possibility with 2 notices of interest to date.
• Terry to run on.
• Tim to carry on running Warhammer with 2 new games to start in September/October.
• Mark’s Pathfinder to continue.

10.Contributions and Suggestions on the website.

• Gerald and Terry to join forces and discuss the layout and re-vamp the website since they will both be dossers in the near future.
• Perhaps new host provider (Richard Lush). 
• Try and get Taz’s Rappan Athuk items to add.

11. Election of Officers.

• Peter has stepped down as Treasurer and Julius Foxton has volunteered, nominated and seconded to take over.
• Gerald and Phil to remain in office.

12. Another Other Business.

• Aside from a comment about the Big Issue (Terry & Gerald) nothing.
